3. Our legal bases for using your information
Under UK data protection law, we must have a lawful basis for processing personal information.
Depending on the circumstances, we rely on the following bases.
Performance of our contract with you
We process information where it is necessary to provide Kin and the services you have requested.
For example, we need to process your account information, matches, results and ranking data in order to provide your Kin profile and ranking.
Our legitimate interests
We may process information where it is necessary for our legitimate interests or those of other users, provided those interests are not overridden by your rights.
These interests include:
operating and improving Kin;
maintaining accurate and trusted rankings;
preventing fraudulent or manipulated results;
understanding product performance;
protecting our users and platform;
developing new features; and
growing and operating our business responsibly.
Your consent
We rely on consent where required, for example for certain marketing communications, optional device permissions or non-essential cookies and tracking technologies.
Where we rely on consent, you may withdraw it at any time.
Legal obligations
We may process information where necessary to comply with applicable laws, regulations, court orders or other legal requirements.
4. Rankings, profiles and match information
Kin is a player network. Certain information is therefore intended to be visible to other users.
Depending on your settings and the relevant Kin feature, this may include:
your player name;
profile image;
Kin level;
ranking;
ranking position;
match history;
match results;
statistics;
progress;
Groups;
My Circle connections, where visible under the feature’s settings; and
selected profile information.
Your ranking may appear in local, national, global or private Group leaderboards.
When you play a match with other Kin users, information about that match may also appear on their accounts and form part of their playing records.
Because match records involve multiple players, deleting or changing information may sometimes affect another player's record. Where an account is deleted, we will remove or anonymise personal information where appropriate while preserving information that is legitimately required to maintain the integrity of other players' records or Kin's platform.
If you believe a result or information associated with your account is incorrect, you can use the relevant dispute or support process available through Kin.
5. How the Kin ranking works
Kin uses information from verified matches and other relevant playing data to calculate and update player levels and rankings.
These calculations may be automated.
The ranking system is designed to assess playing performance and produce a consistent Kin level or ranking. It is not intended to make decisions that produce legal or similarly significant effects on you.
We may change or improve the ranking methodology over time to improve accuracy, fairness and integrity.
6. Who we share information with
We may share personal information with trusted third parties where necessary to operate Kin.
These may include providers of:
cloud hosting and data storage;
authentication and account services;
app infrastructure;
analytics;
customer support;
email and communications;
security and fraud prevention;
subscription and payment processing;
app distribution, including Apple and Google;
professional services such as legal, accounting and insurance services; and
other technology required to operate Kin.
These organisations may process information on our behalf under contractual obligations designed to protect your information.
We may also disclose information:
where required by law;
to protect Kin, our users or others;
in connection with suspected fraud, security issues or unlawful activity; or
as part of a corporate transaction such as an investment, financing, merger, acquisition, restructuring or sale of all or part of our business.
Where another Kin user can see information through a profile, ranking, match, Group or community feature, that user receives the information as part of their use of Kin.
7. International data transfers
Kin is designed to be a global player network.
Some of our service providers may process personal information outside the United Kingdom or the country in which you live.
Where personal information is transferred internationally, we take appropriate steps to protect it and use safeguards required by applicable data protection law. These may include adequacy regulations or approved contractual safeguards.
You can contact us if you would like further information about the safeguards used for international transfers.
8. How long we keep your information
We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide Kin, maintain platform integrity, comply with legal obligations and resolve disputes.
Retention periods vary according to the type of information.
In general:
account information is retained while your account is active;
match and ranking information may be retained while required to maintain the integrity of player records and rankings;
support and communications records may be kept for a reasonable period after an enquiry is resolved;
transaction and accounting information may be retained for the period required by law; and
security and technical logs are retained only for as long as reasonably necessary for security, fraud prevention, diagnostics and platform operation.
When information is no longer required, we delete or anonymise it.
9. Deleting your Kin account
You may request deletion of your Kin account.
Where available, you can initiate account deletion directly through the Kin app.
Account deletion will remove your account and personal information associated with it unless we are required or permitted to retain particular information for legal, security, fraud-prevention or other legitimate reasons.
Certain match information may need to be anonymised rather than deleted where complete deletion would alter the legitimate playing history or records of other users.
If you have an active subscription purchased through an app store, deleting your Kin account may not automatically cancel the subscription. You should also manage or cancel the subscription through the relevant app store.
10. Your choices and rights
Depending on where you live, you may have rights over your personal information.
Under UK data protection law these can include the right to:
access the personal information we hold about you;
ask us to correct inaccurate information;
ask us to delete your information;
ask us to restrict how information is used;
object to certain processing;
receive certain information in a portable format;
withdraw consent where processing is based on consent; and
complain to a data protection regulator.
These rights are not absolute and may depend on the circumstances and our legal basis for processing.
To exercise a privacy right, contact us at hello@kinpadel.com.
We may need to verify your identity before completing a request.
Your right to object
You have the right to object to processing based on our legitimate interests in certain circumstances. You also have the right to object at any time to the use of your personal information for direct marketing.
If you are in the United Kingdom, you also have the right to complain to the Information Commissioner's Office (ICO).
If you live in the European Economic Area, you may also have the right to complain to your local data protection authority.
11. Marketing communications
If you choose to receive marketing communications from Kin, we may send you information about features, products, events, partnerships or other Kin news.
You can unsubscribe at any time using the unsubscribe option in the communication or by changing the relevant preferences where available.
We may still send you essential service communications relating to your account, security, subscriptions, matches or important changes to Kin.
12. Cookies and similar technologies
Our website and app may use cookies, software development kits and similar technologies to:
operate our services;
remember preferences;
keep Kin secure;
understand how the website and app are used;
measure performance; and
improve the user experience.
Where required by law, we will ask for your permission before using non-essential cookies or similar tracking technologies.
You can manage applicable preferences through our cookie controls and through your browser or device settings.
13. Device permissions
Certain Kin features may request permission to access functionality on your device.
For example, this could include access to your photos if you choose to upload a profile picture, or notifications if you choose to receive them.
We only request device permissions where relevant to a Kin feature.
You can change permissions through your device settings.
14. Security
We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
No internet service or method of electronic storage can be guaranteed to be completely secure. We therefore continually review and improve our security practices as Kin develops.
You are responsible for keeping your login credentials secure and should notify us if you believe your Kin account has been compromised.
15. Age requirement
Kin is intended for users aged 18 and over.
You must be at least 18 years old to create a Kin account or use the Kin service.
If we become aware that an account has been created by someone under 18, we may take appropriate steps to restrict or delete the account and associated personal information.
If you believe that someone under 18 is using Kin, please contact us at hello@kinpadel.com.
16. Third-party services and links
Kin may contain links to third-party websites, services, clubs, booking platforms or other services that we do not control.
Those organisations are responsible for their own privacy practices. We recommend reviewing their privacy policies before providing information to them.
17. Business changes
As Kin grows, our business may evolve.
If Kin or KIN PADEL LTD is involved in a merger, acquisition, investment, financing, reorganisation, sale or transfer of assets, personal information may be disclosed or transferred as part of that transaction, subject to appropriate confidentiality and data protection safeguards.
18. Changes to this Privacy Policy
We may update this Privacy Policy as Kin evolves, when we introduce new features, or when legal requirements change.
We will update the “Last updated” date at the top of this policy when changes are made.
Where a change materially affects how we use your personal information, we will take reasonable steps to bring the change to your attention.
